Privacy Policy

Last updated: October 17, 2026

This Privacy Policy explains what information Easy Filing Hub collects, how we use it, who we share it with, and the choices you have. We designed Easy Filing Hub to collect as little sensitive information as possible.

1. Information you give us

Account information: your email address and password (stored securely as a hash), or your basic Google profile if you sign in with Google.

Case information: the applicant's full legal name, date of birth, country of citizenship, and your relationship to the applicant; your eligibility-screener answers; roadmap progress; document checklist statuses and notes; deadlines; and your conversations with the AI assistant.

Referral information: your invite code, the number of visits to your link, and which accounts signed up through it.

2. Information we do NOT collect

Easy Filing Hub does not allow document uploads. We never collect copies of passports, green cards, birth certificates, tax returns, or other identity documents. We do not ask for your Social Security number, A-Number, or USCIS receipt numbers. Please do not type such numbers into notes or the AI assistant.

We do not store your full card number. Payments are processed by our payment processor, Stripe, which handles your card details under its own privacy policy.

3. Information collected automatically

We collect limited technical information such as browser type, device type, pages visited, and approximate location derived from your IP address, to keep the service secure and working properly. Your language preference and pending invite code are saved in your browser's local storage.

4. How we use information

We use information to: provide your personalized roadmap and checklist; power the AI assistant for your case; process payments, subscriptions, family slots, and referral rewards; enforce case limits and prevent fraud and account sharing; send service and account emails; respond to support requests; and improve the service.

5. AI processing

When you use the AI assistant, your question, recent conversation, and relevant case context (such as the application type and screener answers) are sent to our AI service provider to generate a response. Your data is not used to train public AI models, and we instruct providers not to retain it beyond what is needed to deliver the response.

6. How we share information

We do not sell or rent your personal information, and we do not share it for cross-context behavioral advertising.

We share information only with: service providers who host our database and application, process payments (Stripe), and provide AI responses, under contracts limiting their use of the data; authorities when required by law, subpoena, or to protect rights and safety; and a successor in a merger or acquisition, subject to this policy. If someone joins through your invite link, you see only aggregate counts — not their name or email.

7. Data retention

We keep your account and case information while your account is active. If you ask us to close your account, we delete or anonymize your personal information within 30 days, except records we must keep for legal, tax, accounting, or fraud-prevention purposes (such as payment records), which we keep only as long as required.

8. Security

We use encryption in transit (HTTPS), encrypted storage, access controls that limit each user to their own data, and the principle of least privilege. No system is perfectly secure; if we learn of a breach affecting your information, we will notify you as required by law.

9. Your rights and choices

You may request access to, correction of, or deletion of your personal information, and a copy of your data, by emailing support@easyfilinghub.com (+1 (561) 872-8509). To protect against account sharing, applicant identity fields are locked in the app; legitimate corrections (for example, a typo) can be made by contacting support.

Depending on where you live (for example, California and other U.S. states), you may have additional rights, including the right to know what we collect and to not be discriminated against for exercising your rights. We will verify your identity before acting on a request.

10. Children

Easy Filing Hub is not directed to children under 13 and we do not knowingly collect information from them. A parent or legal guardian may enter information about a minor child as the applicant on the parent's own account.

11. International users

Our service is operated in the United States. If you use it from another country, your information will be transferred to and processed in the United States.

12. Cookies and local storage

We use essential browser storage to keep you signed in, remember your language, and apply invite discounts. In the United States and other regions where consent is not required, we use Google (Google Analytics/Ads) and Microsoft Advertising tags to measure visits and ad results, such as sign-ups and purchases. They may set cookies and receive your device, page and ad-click data. They never receive your application answers. Visitors in the EU, EEA, UK and Switzerland get no ad tags. You can opt out with your browser's tracking protection, Google's Ad Settings and Microsoft's privacy dashboard. Our payment processor may set its own cookies during checkout for fraud prevention.

13. Changes to this policy

We may update this policy from time to time. If changes are material, we will notify you by email or on the site before they take effect.
